A missing message or sending error can originate in an app, a mailbox, a filter, or the delivery path between servers. For an address hosted in cPanel, work through these checks to narrow down the problem and give our team useful evidence. The features you see depend on your service and the options enabled for your account.
1. Identify what is affected
Does the problem affect sending, receiving, or signing in? Does it happen on one device or several, and with one mailbox or all your mailboxes? Check whether it involves one correspondent or several recipients. Record when email last worked normally and any recent password, app, device, domain, or mail-provider changes. Keep the exact error wording rather than a summary.
2. Compare the result in webmail
In cPanel, open Email Accounts, find the mailbox and select Check Email. From webmail, send one test message without confidential information to an external address you control, then reply to that message once.
If this exchange works while your app fails, focus on the app’s configuration and connection. This test does not validate delivery to every recipient. Also, automatic access through cPanel may open webmail without checking the mailbox password saved in your app.
3. Check the app without weakening security
Open Connect Devices and compare the mailbox’s SSL/TLS settings: exact server hostname, full username, ports and encryption. Check incoming mail and outgoing SMTP separately. If you recently changed the mailbox password, update the devices that use it too.
Follow our guide to setting up an email app. If you see a certificate warning, keep the exact error and ask us to check it. Do not disable TLS or bypass the warning to continue connecting. Avoid removing an account from an app before you know whether it contains messages stored only on that device.
4. Review storage, filters and forwarding
Under Email Accounts, select Manage and inspect storage use, the mailbox quota and any displayed restrictions. A full mailbox can prevent incoming delivery. Keep copies of important messages before cleaning up. Increasing a quota depends on your service limits. Our email account management guide explains the related account settings.
Look in spam and other folders. Review Email Filters, Global Email Filters and Forwarders if available. A rule can move, redirect or discard mail, and a filter redirect does not necessarily retain a local copy. Record unexpected rules rather than deleting all rules or the mailbox. For unfamiliar activity, follow our guide to suspicious sending and account security.
5. Inspect delivery information
If your cPanel access includes Track Delivery, search for the recipient and the test time. Open the details and record the Result field. Deferred means another delivery attempt is expected; a rejection or error needs its specific explanation. A filtered message may have been accepted without reaching the inbox.
Available history depends on retained data and service settings. A missing row does not prove that no delivery was attempted. A successful status is not a read receipt or a guarantee of inbox placement. Webmail-only access does not necessarily provide the incoming-message reports available to a cPanel account holder.
6. Have routing checked when appropriate
After a migration or DNS change, the intended mail provider, authoritative MX records and local routing must agree. If another provider hosts your email, a local cPanel change may be inappropriate. Do not replace DNS records or change routing by trial and error. Ask our team to review the configuration for the affected domain.
Give support a useful example
Open a request through your Client Area. Include the affected addresses, date and time with timezone, app, exact error and webmail test result. Add the technical part of a bounce notice or the message identifier, if available. For delayed or unexpectedly filed mail, see how to retrieve complete message headers. Share this evidence privately, never include passwords, and remove unrelated information from screenshots.
