Moving to Google Workspace involves both the data and the people who need to use it. Prepare email and document access as separate workstreams, with a named administrator and a person responsible for acceptance in each team.
Map accounts and information
List users, aliases, shared addresses and groups. Record the current email provider, mailbox sizes, local archives and any application senders. For documents, identify the source location, owner, intended destination and internal or external collaborators.
Decide which information is in scope before selecting a tool. Google's data import documentation distinguishes workflows by source system. Do not assume an email import also transfers every calendar, document, permission or application setting.
Confirm administrative readiness
Have the responsible administrator verify the organization, destination accounts, licences and access to authoritative DNS. Prepare multifactor authentication and recovery methods. Keep an independent contact route available during the move.
Select the current migration instructions for the actual source. Avoid copying a procedure for a different tool or source merely because both mention Google Workspace. Record the permissions the selected tool requests and who will remove temporary migration access afterward.
Pilot mail and document access
Use a representative mailbox and a small set of documents, including one shared outside the organization. Compare the migrated content with the source and retain the error report. Ask an ordinary user to open, edit and share only what that role is supposed to access.
Google Drive has distinct viewing, commenting and editing permissions, with organization policies and folder inheritance affecting access. Check the intended owner and parent folder, not just the visible link. Do not make a folder public to bypass a permissions problem.
Record which links need to be replaced in bookmarks, internal documentation or business applications. Agree on how changes made during migration will be reconciled.
Schedule the mail cutover
Follow the current Google MX instructions for delivery configuration and Gmail activation. Save existing DNS settings and have the administrator verify the complete authorized sender list for SPF, DKIM and DMARC.
Test messages in both directions with an external account, aliases and automated senders. Keep the source service available until the team accepts the result. Returning MX records to the old service does not move messages already received in Gmail.
Close the migration with evidence
Record unresolved import errors, user sign-in tests, key file permissions and accepted exceptions. Remove temporary access only after reconciliation is complete. Define retention, independent backup and a restoration test separately from collaboration and synchronization.
Contact Nuagerie with your source provider, user count, document locations and desired schedule. Migration, ongoing administration and optional external backup require a scope appropriate to your environment.
